Use Time Approval by Project to allow users to simultaneously approve multiple timesheet entries. Users can choose from four selection criteria to control the list of expenses presented for approval, including: Status, Project, Project Manager, and Team Leader. The Get All Matching Time button is used to retrieve all timesheets matching the selection criteria at the time the button is clicked.
Time and Comments entered in Timesheet or Weekly Timesheet for the same Project ID, Task ID, Labor Category, Pay Category and Project Account are consolidated in Time Approval by Project. The approver views all time and comments for the project/task detail line at once. The columns displayed are based on which fields are NOT selected (unchecked) in the Hide for Time Entry section of the Time tab in Project Policies.
Select Projects | Time Approval by Project.
Click to select the Status of timesheets you wish to approve. Options include:
Both - Used to select timesheets that have a Status = "Submitted" or "In Process Approval".
Submitted - Used to select timesheets that the resource has entered satisfactorily and submitted for review and approval.
Pending - Used to select timesheets that the resource has entered and the status is set to Pending.
In Project, specify the project ID for which you want to display timesheets or click Lookup to open Project Lookup, and then select the project from the dropdown list.
In Project Manager, click Lookup to open Resource Lookup, and then select the ID of the resource that is responsible for the project. You can also create a new Project Manager ID by using the Quick Add feature. For more information, see Quick Add.
In Team Leader, click Lookup to open Contact Lookup, and then select the contact (team leader) that is responsible for the project. You can also create a new Team Leader by using the Quick Add feature.
Click the Get All Matching Time button to retrieve all timesheets matching the selection criteria entered.
Click Select All to select all timesheets displaying in the Detail area for approval.
Note: The Approve check box will be checked in all of the detail lines in the Detail area.
Click Clear All to clear all timesheets displaying in the Detail area for approval.

Detail area
The Detail area is a display-only section.
If the Approve check box is selected, the Status of the timesheet will be set to "Approved" when the process is saved. If the Approve check box is unchecked, the Status of the timesheet will remain "Submitted" or "Pending", whichever status it was prior to opening Time Approval by Project.
Project displays the project ID for this detail line.
Project Description displays the description entered into the Description field on the Main tab of Project.
Task and Task Description display the ID and description of the Task for which time was recorded against.
Customer Name displays the name of the customer associated with the Project on this detail line.
The Labor Category displays the category for which the timesheet, and labor costs, are incurred.
The Pay Category displays the category for which the hours are classified (Regular, Overtime).
Project Account displays the General Ledger account associated with the timesheet detail line.
Resource Name displays the name of the resource who submitted the timesheet.
Week of represents the week for which the time was entered.
The next seven columns, labeled Sat, Sun, Mon, Tue, Wed, Thu, Fri, represent the breakdown of time spent on the project for each day of the week displayed in the Week of column. The order of the days is determined based what is entered in the Week Start Day field on the Time tab of Project Policies.
Click Save and New, or click Save and then click New, to save the current timesheet approval and start adding the next.
Note: When the timesheet is approved, the message "The Save operation was Successful" will display in the bottom left hand corner of the screen. Click OK to continue.
Project Managers, with the Approve My Timesheets individual permission defined on the Other tab of Roles, have the ability to Find, Load, and Approve timesheets for projects where they are designated as the project manager.
Team Leaders, with the Approve Team Member Timesheets individual permission defined on the Other tab of Roles, have the ability to Find, Load, and Approve timesheets for their team members' projects.
