Timesheet

Overview

Use Timesheet to enter time worked on various projects/tasks. You may keep a timesheet open (pending) until it is completely finished and ready to be submitted for approval. Team Leader/Project Manager roles are set up to approve the time sheets after they are submitted. When the timesheet is approved, the hours worked are charged to a project. Approved timesheets are eligible for billing purposes. Approved detail lines will show as italicized.

Entering Timesheets

Select Projects | Timesheets.

In Status, select a status based on the current state of the timesheet. The options include the following:

Approved – Use this option to approve a timesheet that was submitted satisfactorily. Once approved, the timesheet becomes eligible for billing purposes.

Pending – Use this option for a timesheet that was not finished or that will have more time added.

Submitted – Use this option for a timesheet that is finished and ready to be approved. Submitted status timesheets may be edited.

Template – Use this option to define a template. For example, if you do not want to record data in every box, you may hide some of them, and then save the layout as a template.

In Period, select the period to which time is being recorded from the dropdown list.

Fill in the last day that time will be recorded in Date.

Note: If the timesheet is for a week, say Monday June 20th to Sunday June 26th, then 06/26/2022 should be specified in Date. If the timesheet was for the month, then the last day of the month would be entered, 06/30/2022.

In Description, type a description for the timesheet.

Note: For example, “Time for the week of June 20th” or “Time for the month of June.”

(Optional) In Session Reference, specify a session reference number for the timesheet.

Note: The Session Reference allows for the unique identification of a batch of timesheets during a particular session. For example, the Session Reference value “ABC062022” could be assigned to all timesheets created by team member ABC on June 20, 2022.

Specify a resource for the timesheet by clicking Lookup  for Resource ID or for Resource Name. If you know the resource information, you may enter the ID or name into the respective fields.

Note: A resource is anyone who is responsible for tracking time.

To create detail lines, follow these steps:

Specify the date for which the time is being recorded in Date.

In Project ID, specify the project ID for the line. Click Lookup to select the project ID from Project. Or, click the down arrow to select the project ID from the list of recently used project IDs.

In Hours, specify the number of hours worked for the day, project, and task selected for this detail line.

The Project Description will default from Project. To change the default Project Description, change the description in Project.

In Task, select the task for which you want to record time. Click the down arrow  to select the task from a list.

Note: Each task is recorded on a new line every day on which it is worked.

The Task Description will default from Task Definitions. To change the default, change the description of the task on the Task tab in Project.

Select a project account from the dropdown list in Project Account.

Select a labor category from the dropdown list in Labor Category based on the kind of work that was done for the detail line.

Select a pay category from the dropdown list in Pay Category based on the time and kind of work done.

In Comments, type comments that describe the nature of the work that was performed for the detail line.

Repeat step a through step j for each detail line that you want to record time worked on a project and task.

Note: If Require Reason for Time Entry Change check box is selected in Projects | Setup | Project Policies, and the date of the time entry is prior to the current date, the user will be prompted to select a Reason code explaining why the entry is late. If Allow Other Reasons check box is selected in Projects | Setup | Project Policies, the user may enter their own reason. A manually entered Reason must be a minimum of 24 characters long.

Click Save and New, or click Save and then click New, to save the current timesheet and start adding the next.

Standard Approval in Weekly Timesheets

When Time Approval Type is set to Standard on the Time tab of Project Policies, timesheets require one level of approval to be considered approved and eligible for billing purposes. For example, this option should be used when a supervisor/team leader will approve all time. The approval will set the status of the weekly timesheet to Approved, as well as each timesheet detail line, and then they are eligible for billing purposes.

Advanced Approval in Weekly Timesheets

When Time Approval Type is set to Advanced on the Time tab of Project Policies, the Weekly Timesheet screen is view-only. Only Beyond Mobile can be used for timesheet entry and approval when Time Approval Type is set to Advanced.
