Organizations that require employees to enter time daily can also require that employees enter a reason code for time added or changed for prior days. In particular, government contractors enforce this requirement.
This topic explains how to enable this feature in Projects | Setup | Project Policies and then add custom reason codes on the Reasons screen. Using the time entry reason codes is also described.
Setup tasks must be performed by a user with System Administrator permissions.
Select Projects | Setup | Project Policies and then select the Time tab.
In the DCAA Compliance area, select Require Reason for Time Entry Change to require that resources select a reason code when adding or changing time for days prior to the current day.
Select Allow Other Reasons to allow the resource to enter a freeform reason instead of selecting a predefined reason code. This check box is enabled only when Require Reason for Time Entry Change is selected (on).
Log out of the system and back in to reset project policies to the new configuration.
Select Administration | Setup | Reasons.
Click New to create a new reason. The Reason dialog is displayed.
In Description, type a short description for the reason.
In Where Used, click the Select check box for Time Entry.
Click Save.
Repeat if you need to add more than one reason.
After time entry reason codes are enabled and defined, workers will get a Reason dialog when they try to save a time entry for a day prior to the current date. The dialog is displayed for Timesheet and Weekly Timesheet screens in Beyond Client and My Time-Portrait and My Time-Landscape pages in Beyond Mobile, depending on how your resources enter time. Workers can select your predefined time entry reason(s) from a drop-down list or enter a freeform reason, depending on reason code setup. The freeform reason must be a minimum of 25 characters and no more than 250 characters in length.
