Internal Company

Overview

Use Internal Company to define separate business entities for which you want to maintain a separate set of project or financial records. An internal company is typically a legally separate company, but can be from an organizational standpoint only. A default internal company is created when you install the System. You should change this information based on your business needs.

Note: When you save an internal company, the System automatically creates a regular company record. You must update this record to add any addresses, telephone numbers, contacts, and so on, that are associated with the internal company. The internal company must be created in Internal Company in order to be used as an internal company. You cannot create an internal company directly in Company.

Creating Internal Companies

Select Administration | Setup | Internal Companies.

In Name, type the name of the internal company that you want to appear on screens and reports.

In Company ID, specify the company code that you want to associate with the company.

Click to select the Primary check box if you want this company to be the default in the Company dropdown list throughout the System. You can only mark one internal company as primary at a time.

In Currency, select the currency in which this company does business. This is considered to be the company’s base currency, and it determines how monetary information for currency is displayed in screens and reports. You can also create a new currency by using the Quick Add feature. For more information, see Quick Add.

Note: If the Multicurrency module has been enabled in your Beyond Software system, you can specify transaction currencies that are different from your base currency when setting up vendors, customers, and bank accounts. You must also set up exchange rate tables for currency exchanges.

If Multicurrency is not enabled, then your base currency and transaction currency are always the same, as specified in this Currency field, and the exchange rate is always 1.0.

In Default From Email Address, specify an email address. This field is currently not used, but is required to have a valid email address entered.

In Company Logo, click Lookup to locate the image file for your logo. This logo appears on reports. The maximum size of the image file is 800 pixels wide by 600 pixels high.

Click to select the Active check box if you want to have the company appear in the Company dropdown lists throughout the System.

Date Formats area

In Separator, select the separator that you want to use when displaying dates in this company. Valid options include the following:

- (hyphen) – Select to have a “-” (hyphen) appear between the month, day and year when you print dates. For example, 01-29-2011.

. (period) – Select to have a “.” (period) appear between the month, day and year when you print dates. For example, 01.29.2011.

/ (slash) – Select to have a “/” (slash) appear between the month, day and year when you print dates. For example, 01/29/2011.

In Display, select the default date format that you want to use when displaying dates in this company. This format is used for screens. Valid options include the following (where “d” represents day, “m” represents month, and “y” represents year):

d/m/yyyy – For example, May 8, 2011 is written 8/5/2011.

dd/mm/yyyy – For example, May 8, 2011 is written 08/05/2011.

m/d/yyyy – For example, May 8, 2011 is written 5/8/2011.

mm/dd/yyyy – For example, May 8, 2011 is written 05/08/2011.

yyyy/m/d – For example, May 8, 2011 is written 2011/5/8.

yyyy/mm/dd – For example, May 8, 2011 is written 2011/05/08.

Click Save and New, or click Save and then click New, to save the current internal company and start adding the next.
