Business System Options

Overview

Use Business System Options to define certain configuration options within the system. These configuration options are generally known as either “Business System Options” or “User Preferences.” Business System Options apply to the whole installation and may be changed at any time to let you optimize data entry and reporting.

Setting Up Business Systems Options

Open Administration | Setup | Business Systems Options.

In the General area, review the following settings:

In Lookup Maximum Rows Returned, specify the maximum number of rows that you want returned in Find or Lookup dialog boxes (that is, a value of 100 limits each dialog box list to the first 100 records in the database).  

Note: If the Display Lookup Row Limit Warning check box is selected for the user in User Preferences, the user has the choice to return all rows when the user is prompted.

In Attachments Pasted Threshold, specify the maximum number of items that you can attach to any one record in the System before you receive a warning.

Select the Use Fiscal Calendar check box to indicate whether you want to use fiscal calendars defined in the Calendars screen or whether you want to use a standard January through December calendar to present date options in the Advanced area of the consoles.

The Email area is not used at this point.  It is planned for external email in future releases.

In Outgoing Email Server (SMTP), specify the name of an SMTP server that Beyond Software should use for any email messages that it automatically generates and sends.

In User Name, specify the user name that is used to log on to the email server.

In Password, type the password set up on the email server for the User Name that you specified. This is used to validate the user before it sends email messages.

In the Reporting area, review the following settings:

In Default Retention, select the number of months/years to be used as the default retention value in Archive when you save a report to an archive. Valid options include the following:

• 1 month

• 7 months

• 2 years

• 2 months

• 8 months

• 3 years

• 3 months

• 9 months

• 4 years

• 4 months

• 10 months

• 5 years

• 5 months

• 11 months

• Never

• 6 months

• 1 year

 

In Maximum Retention, select the maximum retention value available in Archive when you save a report to an archive. Valid options include the following:  

• 1 month

• 7 months

• 2 years

• 2 months

• 8 months

• 3 years

• 3 months

• 9 months

• 4 years

• 4 months

• 10 months

• 5 years

• 5 months

• 11 months

• Never

• 6 months

• 1 year

 

In Archive Expiration Warning, select how long before the expiration date of an archived report before a message will be sent. This occurs if the user has selected the Notify me when my archive reports are about to expire check box in User Preferences Report Options.

For example, you chose to keep data for 1 year, and you want to be notified 2 weeks before the 1 year date, select 2 weeks. Two weeks before the archived report data reaching the 1 year mark, you start to receive expiration warnings. Valid options include the following:

• 1 day

• 4 days

• 1 week

• 2 days

• 5 days

• 2 weeks

• 3 days

• 6 days

 

Click Save and New, or click Save and then click New, to save the current detail line and start adding the next.
