Budget and Statistical Entry

Overview

Budget and Statistical Entry provides a simple approach to entering, maintaining, and reviewing budget data in addition to statistical data.  Use Budget and Statistical Entry to export budget data, statistical data, and actual data to a Microsoft® Excel spreadsheet in addition to importing budget data and statistical data into the General Ledger. You can export a single budget or statistical record or multiple records based on selection criteria. For example, you can select all Expense Accounts associated with a specific Department or range of Departments for export.

If you are beginning to develop next year’s budget in September of the current year, you may want the current year’s actual values through August displayed in the second column as reference values. You may also want to see the previous year’s budget values in the second column. You can then use values as a reference while you entering the desired budget or statistical values.

Entering Budget and Statistical Data

Select Financials | General Ledger | Budget and Statistical Entry.

In Description, specify the name of your budget or statistical entry.

Select the version in Version. The following versions are predefined in the system:

Budget — Represents budget information for an entity (the ledger will be used to track budgetary types of data).

Statistical — Represents statistical information for an entity (the ledger will be used to accumulate and report on statistical information).

Note: You can also create a new version by using the Quick Add feature. For more information, see Quick Add.

In Year, select the year to which this entry applies.

(Optional) Click Save, and then in the toolbar click Import/Export if you want to import data into the current entry or export data from the current entry. For more information, see Importing/Exporting Budget and Statistical Entries below.

To specify the Account Group, click in the grid for the column. Four dropdown lists appear inside the column. Select the account in the first list, select the department in the second list, select the territory in the third list, and then select product line in the fourth list. You can also create new account segments by using the Quick Add feature. 

The Account Description specifies a description for this detail line.

In columns Period 1 through Period 14, specify the budget amount or statistical amount that you want to define for each accounting period.

Click Save and New, or click Save and then click New, to save the current detail line and start adding the next.

Importing/Exporting Budget and Statistical Entries

After you save the detail line in Budget and Statistical Entry, click Import/Export. Import/Export appears.

In Action, select the action that you want to take for this entry. The following options are predefined.

None – Use this option to define an entry without taking any action on what you define.

Create Template – Use this option to create a template for the data that you want to import/export. No action will be taken other than creating the file format.

Import – Use this option to import the values that you have defined in an external file into the detail line that is currently highlighted.

Export – Use this option to export the values that you have defined in the currently highlighted detail line to an external file.

In File, specify the file that you want to process. You must click Lookup  and browse to the location from which the file should be read or to which the file should be written.

(Optional) Click View to open the file in Excel.

If you selected Import in Action, the Validate Only check box becomes enabled. Select the check box if you want to validate the contents of the file against your database. Leave the check box cleared if you want to first validate the file and then import the contents of the file into your database.

Use Import Tab Name to import data from a spreadsheet. Click  to open a grid that contains all the tabs in the file and then select the tab name for the data that you want to import.

Export Tab Name is enabled only if you selected Export in Action. Specify a name that you want to give to a tab in an existing file. If the tab name already exists in the external file that you are writing to, the exported data will overwrite the data on that tab. If the tab name does not already exist in your external file, a new worksheet will be written to the file that has the tab name that is defined in this field.

Click to select the Include Territory Definitions check box if you want to include the definitions for territories during the import/export.

Click to select the Include Product Line Definitions check box if you want to include the definitions for product lines during the import/export.

If you selected Create Template in Action, the Departments grid is enabled. Use Select All  to select all departments to be included in the template. Use Clear All  to clear all departments from being included in the template, and then you may select them individually.

If you selected Create Template in Action, the Account Types grid is enabled. Use Select All to select all departments to be included in the template. Use Clear All to clear all departments from being included in the template, and then you may select them individually.

Click Begin Processing to start to process the data. Or, click Cancel to close Import/Export.

A: The Import/Export button becomes enabled after you save the entry.

A: After you enter the file name, you must click Lookup  to physically open the file that you want to import. Only then will the tabs within the file appear in Import Tab Name.

A: No. The data in each tab of an import file must be imported individually.

A: Yes. You can export a budget or statistical entry to a file and then use Excel or the Import steps to view the contents/layout of the data file.
