Favorites

Overview

The Favorites feature creates a shortcut to the currently active screen and adds this shortcut to the Favorites menu. For example, clicking Add to Favorites when Timesheet is active adds a timesheet shortcut to the Favorites menu. Favorites can be created for a screen, a specific record in a screen, a console or a report. For example, you can create a shortcut to the blank Timesheet screen or a shortcut that opens your weekly timesheet in the Timesheet screen. You can also configure favorites to open automatically when you log on to the System.

For screens that are used to run reports, the Favorites feature creates a shortcut to the report option settings that are defined on the Report Options tab, and then adds this shortcut to the Favorites menu.

For screens that are used to run consoles, the Favorites feature creates a shortcut to the console view that is displayed, and then adds this shortcut to the Favorites menu.

Favorites can be organized in a way that resembles the functionality of Favorites in Internet Explorer. Folder organization is enabled and Favorites can be renamed and organized in any order that you want.

Favorites improve efficiency by reducing the number of steps required to open screens and locate specific records,  and by putting frequently used screens in a common area, they can be located and opened quickly. For reports, favorites can eliminate manually re-entering the same reporting options (filters) every time that you want to run a frequently produced report for current information (for example, a vacation time report). For consoles, favorites can eliminate manually re-selecting the view that you want to run for current information (for example, Project Transaction Pending and Billed console).

Note: The keyboard shortcut for the Favorites feature is F6.

Hints and Tips

Adding Favorites

You can create a favorite for any System screen to which you have permissions (rights).

Open the screen that you want to make a favorite. If you want to open a specific record with this favorite, use Find  to locate the record, and then load it in the screen.

Click Add To Favorites on the main toolbar. Or, click File and then click Favorite. Or, click Favorites, and then click Add to Favorites. Add a Favorite appears.

In Name, specify the name of the favorite.

In Create In, select the location where you want to save the favorite.

Note: If you want to create a new folder for this favorite, click New Folder, and then specify the name and location of the new folder.

Click to select the Load automatically at startup check box if you want this favorite to load automatically every time that you log on to the System.

(Optional) If the favorite is a report, click to select the Save Report Options check box for additional options related to report favorites.  

Click to select Automatically Run Report to automatically run the report when you open the favorite.

Click to select the Automatically Print Report check box to automatically print the report when you open the favorite.

Click Add to create the favorite.

Managing Favorites

You can rename, delete, and reorganize favorites by using Organize Favorites.

On the main toolbar, click Favorites, and then click Organize Favorites. Organize Favorites appears.

Use the pointer to put the focus on the favorite that you want to change, and then make the changes that you want by using the buttons at the bottom of the screen.

Click New Folder to create a new folder for organization. Specify the name of the new folder, and then use Create In to define the location of the new folder.

Use Sort to organize items in a folder or on the favorites list in alphabetical order.

Use Move to move a favorite from its current location to a different folder.

To rename a favorite, use Rename. Specify the new name of the favorite.

To delete a favorite, use Delete. Click Yes to confirm the change.

Note: You can also reorganize favorites by dragging and dropping them into the preferred location.

Click Close to close Organize Favorites.
