Chart of Accounts Policies

Overview

Use Chart of Accounts Policies to define and maintain the account group structure. This structure is used to classify transactions entered in the system based on the following groups:

Company (mandatory) – internal company

Account (mandatory) – the natural accounts that are used to break out revenue, expense, assets, liabilities and equities

Dimension 1 [Department] (optional) – a user-defined reporting hierarchy

Dimension 2 [Territory] (optional) – a user-defined reporting hierarchy

Dimension 3 [Product Line] (optional) – a user-defined reporting hierarchy

Dimension 4 – a user-defined reporting hierarchy

Dimension 5 – a user-defined reporting hierarchy

Dimension 6 – a user-defined reporting hierarchy

Dimension 7 – a user-defined reporting hierarchy

Dimension 8 – a user-defined reporting hierarchy

The maximum size for an account group, across all ten of the account group dimensions is 48 characters.  

The various fields associated with each group control validation and display of the individual groups throughout the application. Click to select the Active check box next to an account group segment to enable the segment. After a segment is "active,” you must define the following values for the segment:

Relative Position – what order the segment appears in transactions

Field Name – formal description of the field

Short Field Name – name that appears in the transaction. The length of this name cannot be greater than the Size specified for the group.

Size – number of characters that the field contains

Type – whether the characters entered will be numeric or alphanumeric. If the field only accepts numbers, select Numeric. If the field accepts numbers and letters, select AlphaNumeric.

Active – whether the dimension is active or inactive

Setting Up Chart of Accounts Policies

Select Financials | Setup | Chart of Accounts Policies.

In the Company row, specify the Relative Position, Field Name, Short Field Name, Size, and Type to define the internal company with which the transactions are to be associated. The Active check box is disabled because Company is mandatory.

The maximum size for Company is 2 characters.

In the Account row, specify the Relative Position, Field Name, Short Field Name, Size, and Type for the accounts that are used to break out revenue, expense, assets, liabilities and equities. The Active check box is disabled because Account is mandatory.

The maximum size for Account is 6 characters.

In the Department row (Dimension 1), click to select the Active check box if you want to set up a user-defined reporting hierarchy. Then, specify the Relative Position, Field Name, Short Field Name, Size, and Type for the user-defined reporting hierarchy.

The maximum size for Department (Dimension 1) is 5 characters.

Even if you do not select the Active check box, the group values will still be populated with the default value (000) throughout the system so that values will exist for the item if it is enabled in the future.

In the Territory row (Dimension 2), click to select the Active check box if you want to set up a user-defined reporting hierarchy. Then, specify the Relative Position, Field Name, Short Field Name, Size, and Type for the user-defined reporting hierarchy.

The maximum size for Territory (Dimension 2) is 5 characters.

Even if you do not select the Active check box, the group values will still be populated with the default value (000) throughout the system so that values will exist for the item if it is enabled in the future.

In the Product Line row (Dimension 3), click to select the Active check box if you want to set up a user-defined reporting hierarchy. Then, specify the Relative Position, Field Name, Short Field Name, Size, and Type for the user-defined reporting hierarchy.

The maximum size for Product Line (Dimension 3) is 5 characters.

Even if you do not select the Active check box, the group values will still be populated with the default value (000) throughout the system so that values will exist for the item if it is enabled in the future.

In the Dimension 4 - 8 row, click to select the Active check box if you want to set up a user-defined reporting hierarchy. Then, specify the Relative Position, Field Name, Short Field Name, Size, and Type for the user-defined reporting hierarchy.

The maximum size for Dimension 4 - 8 is 5 characters.

Even if you do not select the Active check box, the group values will still be populated with the default value (000) throughout the system so that values will exist for the item if it is enabled in the future.

The Total will display the total number of characters allocated to the overall account group dimensions. The maximum size across all 10 of the Account Group dimensions is 48 characters.

In Segment Delimiter, select the character that you want to appear between segments in screens and reports. Valid options include the following:

- (Hyphen)

. (Period)

Click Save and New, or click Save and then click New, to save the current detail line and start adding the next.
